For design studios

Present design rounds and deliver final files from one branded portal

Design work moves in rounds: concepts, revisions, final artwork, and a folder of export formats at the end. Clientwharf gives each client a private portal where your studio shares each round, records approvals against the exact version, and hands over the final files in a way that still makes sense months later.

The handover problem

What makes design handovers messy

The design is the easy part to get right. Keeping rounds, feedback and final files straight across a team is harder.

  • Too many versions in too many places

Concept PDFs in one email, revised artwork in a shared drive, a "final_final" file in a chat thread. Clients and designers end up looking at different files.

  • Feedback without context

Notes arrive as a list in an email body, detached from the file they refer to, and it is unclear which round they apply to.

  • Sign-off that is hard to prove

When a client later asks why the logo changed, it helps to know exactly who approved which version and on what date.

  • Large final deliveries

Brand packages, print-ready files and source files are often too big for email, and public share links are not where client work should live.

How Clientwharf helps

Built around rounds, approvals and delivery

Everything for a client sits in their own portal, with your studio's logo and color on the plans that include branding.

  • Versions instead of filenames

Upload a revised file and it becomes the next version of the same file. Clients see v1, v2 and v3 in order, with image and PDF previews in the browser.

    File delivery and versions
  • Approvals tied to a version

Request approval on a file. The client approves or requests changes with a comment, and the decision is stored with the version number and time. You can export it as a PDF.

    About approvals
  • Feedback that stays with the round

Clients and your team comment on approvals, requests and updates, so feedback for round two stays with round two.

    Updates and comments
  • Portals that look like your studio

Add your logo, accent color and a welcome message on Freelancer Pro and above. On Studio and above you can also remove the "Powered by Clientwharf" footer and use a custom portal subdomain.

    Branding options
  • Private, signed downloads

Files live in private storage. Download links are short-lived and signed, and they are only issued to people signed in to that client's portal.

    How client portals work
  • A shared workspace for the team

Invite your designers to the workspace as owners, admins or members, and everyone works from the same project history.

    Team and permissions

In practice

From first concepts to final artwork

A typical identity or campaign project might run like this.

  1. Collect the brief and assets

Create requests for existing brand files, references and copy. The client uploads them and attaches them to each request.

  2. Share round one

Upload the concept presentation, post an update explaining the directions, and request approval on the preferred option.

  3. Revise in versions

When the client requests changes, upload the revised file as a new version. The earlier version and its feedback stay visible.

  4. Deliver the package

Once the final version is approved, organize the export files into folders and post a handover update. The approval record stays with the project.

Common questions

Which file types can clients preview in the browser?

Images and PDFs can be previewed in the portal. Other files, such as source files and archives, are available to download through a short-lived signed link.

How large can a single file be?

The maximum file size depends on your plan, from 500 MB on Solo up to 20 GB on Agency Plus and Scale. Large files upload in parts, so you can deliver print and video exports.

Can a client approve on behalf of their whole company?

Any invited contact for that client can approve or request changes. The record shows the name and email of the person who decided, which version they decided on, and when.
