Deleting your account or workspace
How to delete your Clientwharf account and workspace, what is removed, and what to do first so you do not lose anything.

Before you start
Deletion is permanent. Once a workspace is deleted, its clients, projects, files, approval records and comments cannot be recovered by you or by us. Take these steps first:
- Export your data. An owner or admin can request an export in Settings > Data export at
/app/settings/export. Download it and check that it opens. See exporting your workspace data. - Cancel your subscription. An owner or admin opens Billing at
/app/billing, selects Manage subscription and cancels in Paddle's customer portal, so no further payments are taken. See canceling your subscription. - Tell your clients. Their portals stop working when the workspace is deleted. Let them know where they will find their files from now on.
If you only want to stop paying
You do not need to delete anything to stop paying. Canceling your subscription is enough. Your workspace becomes read-only at the end of the paid period, and your data is kept for at least 30 days in case you want to come back.
Delete a workspace
Only the workspace owner can delete a workspace.
- Open Settings at
/app/settings. - In Delete workspace, select Delete workspace.
- Type the workspace name to confirm, then select Delete workspace permanently.
You cannot delete a workspace while its subscription is still set to renew. Cancel the subscription first, as described above.
Delete your account
Your account is your personal sign-in. Deleting it is separate from deleting a workspace.
- Open Account at
/app/account. - In Delete account, select Delete my account.
- Type your email address to confirm.
If you own a workspace, you cannot delete your account until that workspace has a new owner or has been deleted. To hand it over, use Transfer ownership on the Team page at /app/team. Otherwise, delete the workspace first.
When you delete your account, your sign-in, sessions and workspace memberships are removed. The work you did for a workspace, such as files, updates and comments, stays with that workspace, because it belongs to the workspace.
What is deleted
When a workspace is deleted, we remove from our live systems, within 30 days:
- All clients, contacts, projects, updates, requests, approvals and comments.
- All files and file versions.
- Your branding, documents and settings.
What we keep
- Billing records. Paddle, as the merchant of record, keeps transaction records as required by tax and accounting law. We keep a minimal record of past subscriptions for the same reason.
- Backups. Our database provider keeps backups for point-in-time recovery. Deleted data drops out of those backups automatically within a further 30 days.

Client contacts
Client contacts do not have a workspace. If a contact wants to stop receiving emails or have their access removed, they can ask you, since you control your clients' access. Contacts can also turn off emails from the account page in their portal, or contact privacy@clientwharf.com.
