Create projects for each client, upload and organize files in folders, publish new versions and share downloads securely.

Projects

Every piece of client work lives in a project, and every project belongs to one client. A project has:

  • A name and a short description.
  • A status: Planning, In progress, In review, On hold or Completed.
  • Optional start and due dates.

Create a project with New project on the client's page. Each project has its own page at /app/projects/<id> with Overview, Files, Updates, Approvals and Requests tabs. Clients see the same project in their portal, without your internal settings.

Keep the status up to date. It is the quickest way for a client to see where things stand. When a project is finished, set it to Completed. You can select Archive project on old projects to keep the list short.

Uploading files

In the project's Files tab, drag files onto the upload area or select Choose files. A few things to know:

  • Large files are uploaded in parts, so you can deliver big exports, videos and archives.
  • Maximum file size and total storage depend on your plan. See pricing for the limits.
  • Blocked types. For safety, executable files, installers, scripts and disk images such as .exe, .msi, .bat, .sh, .dmg and .iso cannot be uploaded. If you need to deliver software to a client, contact support@clientwharf.com, as described in our Acceptable Use Policy.

Your clients can upload files too, usually in response to a request. Files from clients are marked From client so you can tell them apart from your own deliveries.

Folders

Use folders to organize a project, for example "Concepts", "Final artwork" and "Source files". Folders can be nested. Clients see the same folder structure in their portal.

Versions

When you revise a file, open it and select Upload new version instead of uploading a separate file. Clientwharf numbers versions automatically (v1, v2, v3) and shows the latest version by default. Earlier versions stay available in the version history, together with their approval history.

Versions make approvals reliable: when a client approves, the record notes exactly which version they approved. See approvals.

Previews and downloads

Images, PDFs and plain-text files can be previewed directly in the browser by your team and your client. Other files are available to download.

Files are kept in private storage. When someone previews or downloads a file, Clientwharf checks that they have access and then creates a signed link that expires after a few minutes. If someone forwards a download link, it stops working shortly afterwards. To give a new person access, invite them as a contact instead.

Deleting files

Team members can delete files that were uploaded by mistake. Deleted files disappear from the project for your team and your clients. If a file is part of an approval record, the record itself is kept.

Storage limits

Clientwharf warns you when you reach 80% of your storage. At 100%, new uploads are blocked until you free up space or move to a larger plan. Existing files are never deleted to make room.
